This Privacy Policy explains how Wingman Aviation, LLC(“Wingman,” “we,” “us”) collects, uses, and shares information when you use the Wingman website, applications, and services (the “Service”). By using the Service you agree to this Policy and to our Terms of Service.

1. Information we collect

  • Account information — your email, password, and display name.
  • Pilot profile and aviation data — information you choose to add, such as home airport, body weight (used for weight-and-balance calculations), certificates and ratings, and medical, flight-review, and CFI expiry dates.
  • Logbook and flight data — your logbook entries, flights, reservations, and related flight records, including any logbook photos you upload for import.
  • Documents you upload — files you add to your document vault (for example, a medical certificate or photo ID), stored privately and accessible only to you and, where you share them, your club.
  • Club and billing records — membership, charges, account balances, statements, and similar records. (Wingman records these amounts; it does not process or hold club or flight payments — see your Terms.)
  • Payment information — for subscriptions, handled by Stripe. We receive limited details (such as subscription status and the last four digits of a card); we do not store full card numbers.
  • Usage and device data — basic technical information such as log data and device/browser type, used to operate and secure the Service.

2. How we use information

  • to provide, operate, maintain, and improve the Service;
  • to run scheduling, maintenance, billing recordkeeping, training records, the logbook, and the RightSeat network;
  • to run weight-and-balance and currency tools and to send you notifications you’ve enabled (such as currency, document-expiry, and booking reminders);
  • to process your subscription and provide support;
  • to protect the Service, prevent abuse, and comply with law.

3. AI features

Some features — such as importing a logbook, roster, or fleet — send the text or images you provide to our AI provider, Anthropic, to extract structured data. We send only what is needed for the feature. We do not use, and instruct our providers not to use, your data to train their models. Avoid uploading content you don’t want processed this way.

4. How we share information

We do not sell your personal information. We share it only:

  • With service providers who process data on our behalf, under contract — including Supabase(hosting, database, file storage, and authentication), Stripe (subscription payments), Anthropic(AI import features), and Resend (email). Where a club connects it, Intuit QuickBooks receives billing data, and ADS-B providers may be used for optional live-tracking features.
  • Within your club — if you join a club, the administrators and relevant members of that club can see the club-related information you provide (such as your membership, reservations, training records, and account balance).
  • On the network — if you post a shared flight or make your pilot profile public, the information you choose to share (such as your display name, home airport, and the flight details) is visible to other users.
  • For legal reasons — to comply with law, enforce our Terms, or protect rights and safety; or in connection with a business transfer.

5. Data retention

We keep your information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your account and associated data as described below.

6. Security

We use reasonable technical and organizational measures to protect your information, including access controls and encryption in transit, and private, access-scoped storage for uploaded documents. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your rights and choices

You can review and update your profile information at any time in the app, and adjust your notification preferences in Settings. Depending on where you live, you may have rights to access, correct, delete, or port your personal information, or to object to or restrict certain processing. California residents have rights under the CCPA/CPRA (including the right not to be discriminated against for exercising them); we do not sell or “share” personal information for cross-context behavioral advertising. 8. Cookies

We use cookies and similar technologies that are necessary to sign you in and keep the Service working. We do not use them for third-party advertising.

9. Children

The Service is not directed to children under 18, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will delete it.

10. International users

We operate in the United States, and your information is processed there. If you access the Service from outside the U.S., you understand your information will be transferred to and processed in the U.S.

11. Changes to this Policy

We may update this Policy from time to time. We will update the date above and, for material changes, provide additional notice where appropriate.
